Fibrolamellar Cancer Foundation (FCF) Policy for the Use of Artificial Intelligence (AI) in Grant Applications, Peer Review, and Grantee Submissions
FCF is committed to maintaining the confidentiality of proprietary information included in proposals that are submitted to the Foundation for funding, as well as subsequent communications with applicants and grantees. This policy addresses the requirements for applicants, grantees, reviewers, and staff to keep grant information confidential and the use of natural language processors, large language models, or other generative Artificial Intelligence (AI) technologies or tools when developing, viewing, reviewing, or updating grant applications and awards.
For the purposes of this Policy, AI Tools (“AI Tools”) are systems that:
- accept an input from a user;
- generate content, which may include text, images, code material, or predictions in response to that input; and
- rely on artificial intelligence, including natural language processing, machine learning, deep learning, or generative artificial intelligence models to generate the content or predictions in response to the input.
Given that AI Tools are changing rapidly, this policy may evolve over time. Periodic updates will be published on FCF’s website.
- Applicants: Grant applicants are permitted to use AI Tools in the development of their proposals. However, applicants are fully responsible for the accuracy of the content of their proposals. All use of AI, and details about how it was used, must be disclosed in the application. While the use of AI in a grant application will not influence scoring, applicants are cautioned against using AI Tools for developing their grant applications due to the possibility of the tools incorporating mistakes, fabricated information, or copyrighted information. Applicants should carefully review any content generated by AI and edit the results for accuracy.
- Grantees: Grantees can use AI Tools for analysis and the development of reports submitted to FCF. Grantees are fully responsible for the accuracy of the content of their reports. Grantees are cautioned against using AI Tools for analysis and developing reports due to the potential for the systems to make mistakes, fabricate information, use proprietary information, or capture/use confidential information entered by the grantee. Grantees certify that all information in submitted reports is accurate at the time of submission and any publishable information included is authored by, or developed using information authored by, the Grantees or others working on the project.
- Reviewers: Because public AI Tools do not guarantee where data will be sent, saved, viewed, incorporated, or used, the use of AI Tools for the review of grant applications violates FCF’s Confidentiality and Non-Disclosure Policies and Agreements. Therefore, members of any FCF review committee, including Scientific Reviewers and Community Reviewers, are not permitted to use AI Tools for analyzing, summarizing, or interpreting information provided in any grant application, or for formulating peer review critiques for grant applications.
- Staff: Similarly, FCF Staff are not permitted to use public AI Tools with confidential information, including summarizing an application or interpreting the information in an application, due to the potential to violate FCF’s Confidentiality and Non-Disclosure Polices and Agreements. FCF staff may only use AI Tools which have been evaluated, approved for use, and comply with FCF’s security and privacy standards (“Approved Al Tools”) with confidential or non-public information.
